Attendance: Request On Behalf

The Request On Behalf feature allows supervisors or managers to submit attendance-related requests on behalf of an employee.


For example, if Supervisor A needs to apply Self Overtime on behalf of Employee X, this can be done through the Request On Behalf screen.


This screen can also be used to verify an employee’s view, especially when they report being unable to submit a request themselves.

 

Step 1

On the left menu, go to Attendance > Request On Behalf. You will be able to see six (6) types of requests as shown below:

   


Request type 1: Self Overtime

Choose Self Overtime

Then, begin by searching your Staff Name (a). Click the New Request (b) button at the top right of the screen.


Fill in all the necessary details for the self-overtime request.

  1. Date
  2. Overtime Start
  3. Overtime End
  4. Overtime Pay Mode
  5. Reason


Review the entered details to ensure accuracy. Click Submit to complete the request.




Request type 2: Short Hours


Choose Short Hours


Begin by searching your Staff Name (a). Click the New Request (b) button at the top right of the screen.


Then, you'll be able to see the Short Hours List. This list will show you which date your staff has late in or early out based on their attendance.


Click the date that you wish to make a request for. Once clicked, you'll be able to see two options: Request to Void or Change Clock Entry.


Option 1: Request to void

Choose relevant Reasons or add any Remarks and click Submit.



Option 2: Change clock entry

  • Adjust the Clocking Entry based on your record.
  • Fill in any required fields (e.g. reason, remarks, or attachment if applicable).


Review the entered details for accuracy. Click Submit to complete the request.



Request type 3: Change shift

Choose change Shift Request.

Begin by searching your Staff Name (a). Click on the New Request (b) button at the top right side of the page.


New request to change shift will appear.

  • Select the Date that you wanted to change shift for your staff in the Original tab.
  • Select the new shift under the Change to tab.
  • Fill in any required fields (e.g. remarks or attachment if applicable).


Review the entered details to ensure accuracy. Click Submit to complete the request.



Request type 4: Incomplete Entry

Choose Incomplete Entry.

Begin by searching your Staff Name (a). Click on the New Request (b) button at the top right side of the page.


Then, you'll be able to see the Incomplete Clock Entry List. This list will show you which date your staff has incomplete clock entry based on their attendance.


New request for incomplete clock will appear.

  • Adjust the Clocking Entry based on your record.
  • Fill in any required fields (e.g. reason, remarks, or attachment if applicable).


Review the entered details for accuracy. Click Submit to complete the request.




Request type 5: Absent


Choose Absent.


Begin by searching your Staff Name (a). Click on the New Request (b) button at the top right side of the page.




Then, you'll be able to see the Absent List. This list will show you which date your staff was absent based on their attendance.



Click the absent date that you wish to make a request for. Once clicked, you will be able to see two options: Edit Clock Entry and Request Leave


Option 1: Edit Clock Entry

  • Adjust the Clocking Entry based on your record.
  • Fill in any required fields (e.g. reason, remarks, or attachment if applicable).


Review the entered details for accuracy. Click Submit to complete the request.




Option 2: Request Leave

  • Select the appropriate Leave Type for the employee’s absence. Once selected, the system will display the Pending, Taken, and Balance leave details.
  • Select the Start and end Date for the employee's leave.
  • Fill in any required fields (e.g. reason, remarks, or attachment if applicable).



Review the entered details to ensure accuracy. Click Submit to complete the request.


These are all the request types that can be submitted on behalf of employees. This feature is commonly used by HR or managers to verify information from the employee’s perspective.


When submitting a request, always ensure that the details provided are correct and complete.
