Why is Unpaid leave deductions processed even though Pull Unpaid box is unticked?

Scenario: When I processed the staff salary without ticking the Pull Unpaid box, the system still picks up as an unpaid leave deduction. Am I missing a step in my payroll process? This box is available under the Process Payroll screen (Payroll > Process > Monthly) as shown below:



Possible cause: Another previous payroll with Pull Unpaid boxes ticked, was processed, and has pulled the leave deductions data to Individual Transaction. 

Before the current attempt to run the payroll, there were already some previous pay runs in the same period cycle perhaps by the other administrator team members, which were thereafter deleted. In these deleted pay run(s), the Pull Unpaid box was ticked and this has automated the unpaid leave records to be pulled into Individual Transactions. This is under Payroll > Transaction > Individual Transaction. Thereafter, the test pay run was deleted, but the unpaid leave deduction records were left undeleted, leaving them still available under Individual Transactions and picked up in the next payroll process even when the box was not ticked. 



Step 1

Confirm if there are existing deduction items under Individual Transactions, as explained in the previous paragraph. On your homepage, go to your left menu, and click on Payroll > Transaction > Individual Transaction.



Step 2

Select the employee, the Transaction Month, and the Pay Cycle. Click on Unpaid to confirm if there are any unpaid leave deductions. As shown in the screenshot below, there are various records of unpaid leave deductions. These are the unpaid leave deduction records that were picked up in the previous payroll processing but were not deleted after the payroll cycle was deleted, leaving them still available to be picked up by the system in the following payroll processing even when the Pull Unpaid Data tickbox was unticked.



Step 3

Click on the Edit box.



Step 4

Tick the box next to the selected date of unpaid leave.



Step 5

Click Delete.



Note: If you want to delete all data, click on the box next to the Date header as shown in the illustration below, and this will then select all data and you don't have to click one by one. Then, click Delete to delete all.
