How to solve "Unplanned Leave Error"

This alert appears when you’re applying for backdated or short notice leave, but your company has disabled Unplanned Leave.



Here are the steps you can take to resolve the issue:


Step 1


Go to Setting > Leave > Leave Type. 

Select the affected leave type, toggle “Allow Taking Unplanned Leave” to “Yes”.



Step 2


Check the settings for each section as below:


a. Allow Taking Unplanned Leave:

  • To enable submission of short notice or backdated leaves, the setting “Allow Taking Unplanned Leave” must be toggled to “Yes”.
  • If it's disabled, the system will block any last minute or backdated leave requests.



b. Application for Future Leave:

  • Defines how far in advance leave must be applied for to be treated as "Planned Leave".
  • Example: If it’s set to 3 days, employees must submit their leave request at least 3 days before the leave start date
  • Any request made less than 3 days in advance will be treated as "Unplanned Leave". 

    Example:

    Today is 14 July. You apply for leave on 16 July.

    If the minimum advance notice required is 3 days, the system will mark it as unplanned leave since the notice given is only 2 days.

    If the leave date was 17 July or later, it will be treated as normal leave.



c. Application for Back Dated Leave:

  • Defines how far back in the past a leave request can be submitted. 
  • All leave applications submitted after the leave date has passed will be automatically classified as "Unplanned Leave".
  • Example: If it’s set to 3 days, employees can only apply for leave within the last 3 days as unplanned leave. If the leave date is older than 3 days ago, the system will block the submission. 

    Example: 

    Today is 14 July. You apply for leave on 11 July.

    If the maximum allowed backdated period is 3 days, the system will mark it as unplanned leave because 11 July is within 3 days period.

    If you applied for a date earlier than 11 July, the system would block the request


Step 3

Click Save.


All done! You’ve updated your leave settings. 


Your employee should now be able to submit a request for backdated and short notice leave.
