Planned Overtime exclusively serves the purpose of enabling Heads of Departments (HODs) or Supervisors to schedule overtime for their team members when additional staffing is required. Unlike Self-Overtime, employees do not have the capability to initiate Planned Overtime requests on their own
Step 1
On the Right panel, go to My Request (a), then click on Planned Overtime(b), and then click New Request(c).
Step 2
After clicking New Request. Fill in the necessary information under Details.
d. Fill the date of the overtime.
e. Select the time of the start and end of the overtime.
f. Select the paymode.
g. Choose the cost center affected by this OT.
h. Choose the reason for the planned OT.
i. Put remarks if necessary.
Step 3
Choose the staff you want to schedule the OT for.
You may select them manually or create a Team firsthand in the Employee modules.
You can also utilize the Filter features to narrow down the selection even more.
Step 4
After choosing staff, you can view the summary in the Selected section to double-check if you have selected the correct employees.
Manpower Requested and Total Selected will show the total number of staff you have selected for the planned overtime while,
OT Hours Requested is the accumulation of the overtime hours from each selected employee.
Step 5
After you have finalized the staff selected, click Submit.
The submitted request will be reflected under Pending and are waiting for the approver to approve the request. If the request is approved, it will be moved to the Approved tab.
Rejected and canceled requests will be moved to the Rejected and Cancelled tab accordingly.
There are a few things to take note when requesting for planned overtime :
i) The planned overtime hours must not be within or overlapping the staff’s actual shift.
ii) There is no Self-Overtime request. If there is other overtime submitted on the date, the request will be moved to the Cancelled tab.
iii) The planned overtime Approval Workflow has been set in the system Settings.
