Special Leave Entitlement Without Employee Application

Modified on Fri, 7 Nov at 2:32 PM

In some cases, HR may need to create a special leave that only applies to selected employees. For example, a one-off approval, management discretion, or a temporary entitlement.

This can be achieved by setting up a leave type that employees are not permitted to apply for directly.

There are 3 steps:

1. Set up a special leave by following the same steps as Setting Up Leave Type.

2. Generate leave entitlement

3. Add leave history

Our recommended setup for special leave

To restrict visibility and application access:

1. Set Minimum Days required for Leave Request to 0.

This will prevent employees from submitting the leave request on their own.

2. Untick All Leave Info Display

This will hide the leave balance from all employee screens.

3. Set Entitlement to 99 Days.

This acts as a base entitlement for HR to manage manually during generation.

Step 1

Generate Entitlement for selected employees.

On the left menu, go to Leave > Generate Entitlement.

Use Manual Selections to select only the specific employees who should receive the entitlement.

Click Process to generate the leave entitlement only to them.

Step 2

Generate Leave Record (Batch Leave)

After entitlement generation:

  • Go to Leave > Batch > Batch Leave. Select the same Leave Type

  • Choose Leave History > New Entry

Enter the leave history entry details and select the employee. Click Submit to confirm.

This step ensures the leave record is created specifically for the selected employees. Once completed, the leave will appear in the employee’s Leave History.
