What is Pre-Approved Overtime?

Pre-approved overtime in Worksy refers to overtime that has been authorized in advance.


There are 3 methods to have pre-approved overtime:

1. Approved Overtime Requests

2. Shifts assigned on Off Days, Rest Days, or Public Holidays

3. Pre-approved Early/Late Overtime in Shift Setting


Rule: No Overlapping Pre-approved OT

  • If a shift already includes pre-approved overtime (e.g., late OT set in the shift setting), employees cannot submit overlapping OT requests.

  • Example: If pre-approved OT is set from 17:30 to 19:30 for 2 hours, an overtime request starting at 19:00 will not be accepted.

  • In such cases, the system will prompt the error message:
    "Shift already has pre-approved OT."

Only approved overtime requests will appear in the pre-approved overtime section. 


An example scenario is shown below, comparing the overtime request and the individual attendance screen before and after approval.

2. Shifts assigned on Off Days, Rest Days, or Public Holidays


Example: [CP] has a shift assigned on 15 Sept 2025 (Holiday). In this case, the pre-approved overtime is the employee’s full shift time.


Shift details for [CP]:
– Shift time: 08:30 – 17:30
– Break time: 
12:30 – 13:30



3. Pre-approved Early/Late Overtime in Shift Setting 


If a shift is part of your routine schedule, you can set the pre-approved OT directly in the shift setting.  


Kindly refer to the auto overtime approval method in the schedule setting to define your approved OT for the payroll process.
