Step 1
On your left menu, go to Settings (a) > Attendance (b) > Shift (c), and then click on Add New (d) to add a new shift type.
Step 2
Kindly see the functionality of each feature when creating a new shift as listed down below:
(i) Shift Name - The name of the new shift that you would like to have
(ii) Shift Label - The label of the new shift
(iii) Shift Color - You can choose a variety of colors for your shift so you may use it to recognize specific shift type
You may notice the code of the color that will be appeared once you select the color
(iv) Shift Type
- Normal - Normal shift type that has defined shift start and the end time that needs the employees to fulfill to get total working hours that will be calculated automatically by the system
Ex, 9 am - 9 pm
In this case, the employee needs to work full 12 hours, from 9 am to 9 pm - Semi-Flexible - Semi-flexible shift means the employee needs to fulfill the total working hours that you set for them within the predefined time range
Ex: 9 am - 9 pm
In this case, the employee just needs to work a total of 5 hours but it needs to be between 9 am - 9 pm - Flexible - Flexible shift means the employee is free to fulfill the total working hours in one day and NO time range will be set
Although the shift start and end time is filled in, the employee is free to clock in and clock out as long as it fulfills 5 working hours in a day
(v) Shift Start - Click to add the start time of the shift
(vi) Shift End - Click to add the end time of the shift
(vii) Full-Day Working Hours - As per the explanation given in (iv) Shift type, the total working hours will be calculated automatically for Normal Shift, whereas the Semi & Flexible Shift needs to be set it manually
(viii) Is Custom Shift- Click to enable the shift to be editable in the Duty Roster
(ix) Manual Earliest & Latest Out Clock - Define the time range of the Clock In and Out of the shift to be captured in the attendance and not overlapped with another shift on the next day
Ex :
1. Shift Day 1: 9 pm - 8 am
Manual Earliest & Latest Out ( Shift Day 1 ) = 8pm - 12pm
2. Shift Day 2: 4 pm - 11 pm
Manual Earliest & Latest Out ( Shift Day 2 ) = 2pm - 1am
In the above scenario, you need to define the Clock Out for Shift Day 1 and Clock In for Shift Day 2 to be specific so the clock data to not be overlapped
(x) Shift Allowance - Add shift allowance if you would like to give allowance when the employee worked for a minimum of hours.
Add the payroll item to be linked with the payroll process to capture the allowance in the salary
(xi) OT Limit - You may define the OT limit that an employee should work in this particular shift
(xii) Is Half Day - Define the shift whether its a full day or half day
(xiii) Pre Approve OT - Regardless the employee work extra hours or not, you may give pre-approved overtime hours
Step 3
Then, scroll down to see the Half-Day section to define the first and second half of the shift
Step 4
After that, you may set the break hour time range and total break hour.
The payable function is for daily workers where you can determine whether to pay the break hour or not
